Please read the following privacy notice.

This privacy notice explains how we collect, use and protect your personal information, your rights under UK data protection law and how to contact us if you have any questions or concerns.

1. Who we are

The Ministry of Housing, Communities and Local Government (MHCLG) is responsible for this survey and the related processing of personal data.

You can contact MHCLG's Data Protection Officer at dataprotection@communities.gov.uk.

2. What information we collect

This survey asks about your experience of being ‘prompted’ or ‘referred’ to register to vote by another digital government service and using the electoral registration service. Taking part is voluntary and is completely separate from your electoral registration application.

This survey does not ask you to provide your name, contact details or other information that could identify you.

We use information about the service that prompted/referred you to the register to vote service (for example, DVLA) to direct you to the relevant survey. This also allows us to compare survey responses from people referred by different services.

The survey is hosted on Citizen Space, provided by Delib. Citizen Space automatically collects certain technical information when you use the platform, including your IP address, browser identifier and timestamps. Optional analytics cookies may also be used if you accept them.

3. Why we use this information

MHCLG uses survey responses to understand people's experiences of the electoral registration service, compare experiences across different referring services and identify opportunities for improvement.

The technical information collected by Citizen Space is used for operational purposes, including the operation and security of the platform. MHCLG does not use this information for its survey analysis.

4. Our lawful basis for processing this personal data

MHCLG's lawful basis for processing personal information under Article 6(1)(e) of the UK GDPR is that the processing is necessary for the performance of a task carried out in the public interest or in the exercise of official authority.

This relates to MHCLG's public functions in providing and improving digital electoral registration services.

5. Who we share information with

The survey is hosted on Citizen Space, a platform provided by Delib.

6. How long we keep your personal information

Once the survey has closed, MHCLG will download the survey responses and securely remove any personal data such as IP addresses, browser identifiers and timestamps before analysing the results.

The survey data will also be deleted from Citizen Space following the download. Backup copies made for operational purposes may be retained for up to 60 days.

7. Your data protection rights

Under UK data protection law, you have rights in relation to your personal information, including the right to:

  • Request access to your personal information.

  • Request correction or deletion of your personal information.

  • Request that the use of your personal information is restricted.

  • Object to the processing of your personal information.

For this survey, these rights apply to the personal information collected automatically by Citizen Space, such as IP addresses and browser identifiers. Once this information has been deleted and survey responses can no longer be linked to individuals, we will not be able to identify or retrieve individual responses.

To exercise your rights, please contact MHCLG's Data Protection Officer at dataprotection@communities.gov.uk.

8. How to contact us or make a complaint

If you have questions or concerns about how your personal information is used, you can contact MHCLG at dataprotection@communities.gov.uk.

You also have the right to complain to the Information Commissioner's Office (ICO).
